Avoid comparing headline prices as though the inclusions were identical. A digital-only drop-off kiosk and a staffed, wrapped activation with prints, custom artwork and reporting solve different problems.
Plan the floor space and the queue
Place the booth where people naturally pass it, without narrowing an exit, food-service route or the path between conference rooms. The footprint is more than the machine: allow for the backdrop, a small group, the attendant, props, print collection and waiting guests.
Confirm these details on a floor plan:
- the exact booth and backdrop position;
- the direction people enter and leave;
- a safe cable route to power;
- accessible use for seated and standing attendees;
- storage for cases and consumables;
- load-in, testing and breakdown times.
Match the operating window to the programme. Registration and networking breaks can work better than a keynote. At a holiday party, opening the booth after dinner may concentrate participation; at a trade show, shorter sessions or an appointment system may protect staff from a constant queue.
When a QR guest camera is the better alternative
A QR guest camera turns attendees’ phones into distributed event cameras. Instead of visiting a fixed station, people can contribute from tables, breakout rooms, activity areas and the edges of the room.
